Probe Information for Fair Hosts

Fair Host Guidelines

To provide a quality fair experience for exhibitors and attendees, we require the following:

  1. Dedicated event space: A dedicated “event” space for the fair, such as a cafeteria, gymnasium, or other auxiliary building.
  2. Fair layout: Provide six-foot tables and one chair for each registered college or school exhibitor, arranged in alphabetical order. Print and attach a sign to each table. Have two extra tables in case of late exhibitor registration.
  3. Fair handouts: Hand out a map or listing of college or school exhibitors to attendees
  4. Parking: Clear parking and material dropoff directions for exhibitors and students (night fairs only).
  5. Exhibitor and registered student lists: Online access is provided for registered institutions and the number of students registered to attend.
  6. Exhibitor check-in: Check-in registered exhibitors and keep track of no-shows, if any.
  7. Hospitality area: A dedicated hospitality area with light refreshments provided for exhibitors.
  8. Reimbursements: Probe will reimburse up to $125 in hospitality expenses.
  9. Student pre-registration: The Probe tour features “touchless information sharing” between students and college exhibitors. Please have your students pre-register online. Registrants will receive QR codes that may be printed or brought digitally to their fair on a mobile device. We also offer a Group Fair Registration process where counselors can upload student information to create QR codes automatically.
  10. Promotion: Responsible for promoting your fair to parents and students. Probe provides flyers, PowerPoint templates, and social media images for your use. For evening fairs, hosts are encouraged to ask local businesses to advertise the fair on marquees or with in-store signage.
  11. Exhibitor registration: Exhibitor registration is conducted entirely online and closes seven days before the fair date. Refer any exhibitor registration request to Probe leadership. Only nonproprietary (non-profit) institutions are invited to participate. No military recruitments are allowed, except by ROTC and Military academies.
  12. Reporting: Complete an online post-fair survey and provide receipts for reimbursement within 48 hours following the event.
